A receipt app does one job: it turns the paper slip in your truck or the PDF in your inbox into a record your bookkeeper can match to a bank or card transaction. The good ones read the vendor, date and total for you, keep the image attached to the expense, and send it on to your accounting software so nobody has to retype it.
The right choice depends on where your books live and how many receipts you handle. If you already pay for QuickBooks Online, its built-in receipt capture may be enough. If you have a shoebox of paper or a team making purchases, a dedicated app can save more time. We checked every app below on the vendor's own website in September 2026, and we left out tools whose standalone product has been retired.

QuickBooks Online receipt capture
If your books are in QuickBooks Online, start with the receipt capture that is already built in. Intuit says you can snap a photo in the QuickBooks mobile app, and QuickBooks pulls the date, vendor, amount and payment method, then matches the receipt to an existing expense or creates a new one.
Intuit's help pages also describe a forwarding address so users you approve can email receipt images straight into the company file. Because there is no second system to sync, this is the simplest setup for most owners.

Dext
Dext is a document-capture tool used by both small businesses and bookkeeping firms. Receipts and bills come in through the mobile app, email or upload, and Dext extracts the details and publishes them to your accounting software.
Dext lists integrations with more than 36 accounting platforms, including QuickBooks Online, Xero, Sage and Zoho. It is a good fit when you handle a steady flow of supplier bills as well as receipts.

Expensify
Expensify's SmartScan reads receipts captured in the mobile app, forwarded by email or dragged in, then routes them into expense reports for approval and reimbursement. It also has mileage tracking and an optional company card.
Expensify says it is free for individuals, and company plans start at $5 per member (as listed on September 23, 2026). It connects to QuickBooks Online, Xero, NetSuite, Sage Intacct and other accounting systems.

Shoeboxed
Shoeboxed is still operating and still offers its mail-in service: you stuff paper receipts into a prepaid Magic Envelope and its team scans them. Digital receipts can be added through the app or by email, and Shoeboxed says data is human-verified.
Plans start at $9/month as listed on September 23, 2026. The QuickBooks Online and Xero integration is included from the Pro plan up, and every plan includes a mileage tracker.

Wave Receipts
Receipt scanning in Wave is a paid add-on rather than part of the free plan. It is available on the Receipts Plan or the Pro Plan, both with unlimited scans. You can snap a photo in the app, upload files on the web or forward receipts to a Wave email address.
Wave says it reads each receipt with OCR and creates a bookkeeping record automatically. As listed on September 23, 2026, the Receipts Plan starts at $8/month and the Pro Plan at $19/month.

Zoho Expense

Its free plan covers up to three users with a monthly cap on receipt autoscans per user, according to Zoho's pricing page. Paid plans raise the scan limits and add approval workflows.

SparkReceipt
SparkReceipt reads receipts with AI and can pull receipts from a connected Gmail, Outlook or IMAP inbox, including past emails. It can also read bank statements (PDF, CSV or Excel) and match those transactions to receipts.
Exports go to QuickBooks Online, Xero, Wave and Sage, or out as Excel, CSV or PDF. The app also logs mileage by GPS or manual entry.

Neat
Neat is still sold as an annual subscription. You can snap a photo, forward an email or drop in a file, and Neat files the receipt, assigns a tax category and makes it searchable. Neat says it produces one-click reports for your accountant.
The base subscription is listed at $200/year as of September 23, 2026, with paid add-ons for extra service.

How to choose
Start with your accounting software. If you use QuickBooks Online, try its built-in capture for a month before adding another subscription. A separate app earns its cost when you have a paper backlog, several people spending money, or a large volume of supplier bills.
Then count your receipts. Most plans cap scans per month or per year, and the cheapest tier is often the one without the accounting integration.

What a receipt app will not do
An app captures the receipt. It does not decide whether a charge is business or personal, fix a miscategorized expense, or reconcile the account to the bank statement.
