Why church books need specialized care

A business measures profit. A church is accountable for stewardship: showing members, donors and leadership that every gift was received, recorded and used as intended.

That changes how the books have to work:

  • Gifts given for a purpose must stay tied to that purpose until they are spent.
  • Giving records must match deposits and the books, so year-end statements are right.
  • Pastoral compensation, including housing allowances, is set up differently from other payroll.
  • Boards and finance committees need reports they can read in minutes, not raw ledgers.

Working with your treasurer, finance committee and CPA

An outside bookkeeper doesn't replace your treasurer. It gives the treasurer and finance committee accurate, timely information and a separate pair of hands on the day-to-day recording. That separation is also a sensible internal control, especially for smaller churches with few volunteers.

Records are kept organized so your CPA or outside reviewer can work from them efficiently. Tax matters, audits and legal questions stay with those professionals.

In person or remote

Carey is based in Kuna and works with churches across Boise, Meridian, Nampa, Eagle, Caldwell and the rest of the Treasure Valley. Much of the ongoing work happens securely online, so meetings are in person when that helps and remote when it doesn't.

Church bookkeeping questions

Does a church need an outside bookkeeper if it already has a treasurer?

Not always, but it often helps. A treasurer usually oversees church finances on behalf of the congregation or board, while a bookkeeper does the detailed recording, reconciling and reporting. Many churches find that separating those roles gives the treasurer better information and a sensible separation of duties. It is not an audit or any form of assurance work.

How do you keep designated gifts tied to their purpose?

Each gift is recorded to its fund when it is deposited, fund balances are carried forward month to month, and spending is coded to the fund it came from. Leadership receives a fund balance report every month, so it is always clear what has been given for a purpose, what has been spent, and what remains.

Do you handle payroll for pastors?

Yes. Church payroll, including pastoral compensation and housing allowances designated by church leadership, is part of the church bookkeeping service. Payroll is set up according to decisions made by the church and its tax adviser, and exactly which payroll filings are included is confirmed before work begins.

Do you work with our CPA?

Yes, and we encourage it. Books are kept organized and reconciled so your CPA or outside reviewer can work from them efficiently. Tax preparation, audits and reviews remain with your CPA.

What services do you not provide?

Danielson Bookkeeping & Consulting does not provide tax preparation or tax planning, audits or reviews, legal advice, or investment or retirement advice. When you need those, we will coordinate with the CPA, attorney or adviser you choose.

How much does bookkeeping cost?

It depends on transaction volume, the number of accounts and funds, payroll, and how current the books are. After a consultation and a look at your records, you receive a written scope and quote before any work begins.
