    What's included, what isn't, the schedule, and the fee, agreed in writing before work starts.

    Access set up, any cleanup completed, then reconciled books and reports on an agreed monthly date.

How your information is handled

Churches and businesses share sensitive information with their bookkeeper: bank activity, payroll, giver records. These are the practices used to protect it:

  • Named access, not shared logins. Access to accounting software and bank information is set up as a separate user wherever the software allows it.
  • Least access needed. Access is limited to what the engagement requires; view-only access is used where it is enough.
  • Secure document exchange. Statements and payroll documents are shared through secure file sharing or the accounting software rather than ordinary email where possible.
  • Cloud accounting software. Books are kept in established cloud accounting platforms rather than files on a single computer.
  • Access removed at the end. When an engagement ends, access is handed back and removed.

No system is completely risk-free. These practices are reviewed with you at the start of every engagement and adjusted to your organization's own policies.

Separation of duties

For churches especially, an outside bookkeeper is also an internal control: the person recording transactions isn't the person approving or spending them. We'll help you think through who counts, deposits, approves and reviews.

When you need tax, audit, legal or investment expertise, we'll coordinate with the professional you choose and make sure they have organized records to work from.

Working together

Do you work with our CPA?

Yes, and we encourage it. Books are kept organized and reconciled so your CPA or outside reviewer can work from them efficiently. Tax preparation, audits and reviews remain with your CPA.

Do you meet in person, or is everything remote?

Both are available. Carey is based in Kuna and serves churches and businesses across the Treasure Valley, and much of the ongoing work can be done remotely using secure document sharing and cloud accounting software.

How is our financial data kept secure?

Access is set up with named user accounts rather than shared logins, documents are exchanged through secure sharing rather than ordinary email where possible, and access is removed when an engagement ends. No system is completely risk-free, so these practices are reviewed with you at the start of an engagement.

How much does bookkeeping cost?

It depends on transaction volume, the number of accounts and funds, payroll, and how current the books are. After a consultation and a look at your records, you receive a written scope and quote before any work begins.
