Books fall behind for ordinary reasons: a busy season, a bookkeeper who left, a move from spreadsheets to QuickBooks that never quite finished. Catch-up work records the months that were missed. Cleanup work fixes what was recorded wrongly, such as duplicate transactions, miscategorized expenses and reconciliations that never balanced. Most projects need some of both.

Every firm below is in Boise or a neighboring Treasure Valley city and lists catch-up or cleanup work on its own website. Some are bookkeeping practices and some are accounting firms that also prepare taxes, which matters if a filing deadline is what's driving the project.

If you are not sure which kind of help you need, our article on QuickBooks cleanup vs. catch-up bookkeeping explains the difference. Once the books are current, see our Boise small business bookkeeping list for ongoing monthly help.

What a catch-up or cleanup project typically involves

Most projects follow the same order: gather bank and card statements for every month involved, review the chart of accounts, record or correct transactions, and reconcile each account month by month until the balances match the statements. The last step is a set of reports you can hand to your tax preparer or lender.

  • A review of the existing file to see how far back the problems go
  • Statements for every bank, credit card and loan account in the period
  • Removing duplicates and recategorizing transactions
  • Month-by-month reconciliations
  • A profit and loss statement and balance sheet for the cleaned-up period

Questions to ask before you hire

  • Will you fix my existing QuickBooks file or start a new one?
  • How will you price the work: flat project fee, hourly, or per month of backlog?
  • What will you need from me, and by when?
  • Do you prepare tax returns, or will you coordinate with my tax preparer?
  • What happens once the books are current: monthly service, or training so I can keep them myself?

Keeping the books from falling behind again

Cleanup only lasts if the monthly routine changes. Separate business and personal spending, connect bank feeds, and reconcile every month. Our monthly bookkeeping checklist and article on business and personal spending are good places to start.

Frequently asked questions

What's the difference between catch-up and cleanup bookkeeping?

Catch-up bookkeeping records months that were never entered. Cleanup fixes transactions that were entered incorrectly, such as duplicates, wrong categories or unreconciled accounts. Many projects need both.

Can I catch up my books right before a tax deadline?

Often, but it depends on how far behind you are and how quickly you can supply statements. Start as early as you can, and ask your tax preparer whether an extension makes sense. A bookkeeper can't make that decision for you.

Should I fix my existing QuickBooks file or start over?

If the file's history is mostly sound, fixing it keeps your records in one place. If the chart of accounts is unusable or years of reconciliations are wrong, a fresh file with opening balances can be cleaner. A ProAdvisor can review the file and recommend one approach.

Do I need an accounting firm or a bookkeeper for cleanup?

A bookkeeper can handle most cleanup and catch-up work. If you also have unfiled returns or IRS notices, an accounting firm or tax professional who can prepare returns may be the better fit, or you can have a bookkeeper do the books and your tax preparer handle the filings.

Does Danielson Bookkeeping do catch-up and cleanup work?

Yes. Danielson Bookkeeping & Consulting offers QuickBooks Online cleanup and catch-up for small businesses and churches in the Treasure Valley and remotely. It does not prepare tax returns. See QuickBooks services or contact us.
