For a service business, the invoice is where the work turns into cash. A good invoicing tool makes it easy to send a clear bill, lets customers pay online, reminds them when they forget, and passes the payment to your books without retyping.

The tools below fall into two groups: accounting or invoicing apps (FreshBooks, QuickBooks Online, Zoho Invoice, Invoice Ninja, Wave, Square Invoices) and field service apps that invoice as part of scheduling jobs (Jobber, Housecall Pro). Each was checked on the vendor's own website in September 2026. Plans and fees change, so confirm details before you sign up.

However you invoice, the payments still need to land in the right place in your books. If yours need attention, see our lists of bookkeeping services for small businesses in Boise and catch-up and QuickBooks cleanup services in Boise.

Best for: Consultants, agencies and freelancers who bill for time

FreshBooks includes unlimited invoicing, estimates, time tracking and card and ACH payments on every plan. Plans are limited by billable clients: 5 on Lite, 50 on Plus, and unlimited on Premium and Select.

    • Unlimited time tracking on every plan
    • Proposals, e-signatures and retainers from Plus
    • Accounting reports and bank reconciliation from Plus
    • 30-day free trial with no credit card required

  2. QuickBooks Online

Best for: Businesses that want invoicing inside their accounting system

QuickBooks Online lets you set recurring invoices to send daily, weekly, monthly or yearly, sends automated payment reminders, and lets customers pay by card, ACH, Apple Pay, PayPal or Venmo.

On the Plus and Advanced plans, progress invoicing splits an estimate into several invoices by milestone, stage or percentage complete, which is useful for contractors and longer projects. Advanced adds batch invoicing.

    • Invoices, payments and books in one system
    • Recurring invoices and automated reminders
    • Progress invoicing on Plus and Advanced
    • Several customer payment options

    Worth knowing

    • The Free plan is limited to two invoices a month
    • Progress invoicing needs Plus or Advanced
  3. Jobber

Best for: Home service businesses like cleaning, lawn care and trades

Jobber combines scheduling, quotes and invoicing for field service businesses. Every plan, starting with Core, lets you send quotes and invoices and take online payments, and customers can book online.

From the Connect plan, Jobber automatically reminds clients by email or text when an invoice is due and syncs with QuickBooks Online. Job costing, which shows profit per job from materials, labor and expenses, starts on Grow.

    • Quotes, scheduling and invoicing in one app
    • Automated invoice reminders from Connect
    • QuickBooks Online sync from Connect
    • 14-day free trial of the Grow plan with no credit card required

    Worth knowing

    • The Core plan does not include automated reminders or the QuickBooks Online sync
    • More than you need if you don't schedule field work
  4. Housecall Pro

Best for: Trades and home service companies with technicians in the field

Housecall Pro has three plans: Basic, Essentials and Max. All of them include invoicing with automated reminders, online payment options, online booking, and scheduling and dispatching technicians.

Its pricing page lists QuickBooks Online sync on the Basic plan, and Essentials adds route optimization.

    • Invoicing with automated reminders on every plan
    • Customers can book and pay online
    • Scheduling and dispatch built in
    • 14-day free trial of the Max plan with no credit card required

    Worth knowing

    • Card processing fees apply to online payments
    • Built for field service; a consultant or office-based firm may not need it
  5. Square Invoices

Best for: Businesses that already take payments with Square

Square's free plan includes unlimited invoices and recurring invoices, estimates and contracts, and a projects workspace. You pay card processing fees on payments collected.

Paid Plus and Premium plans add payment schedules, custom invoice templates and lower processing fees. Square also supports deposit requests with separate due dates, automatic reminders and contracts with e-signature.

    • Free plan with unlimited invoices
    • Estimates and contracts with e-signature
    • Deposits with a separate balance due date
    • Automatic payment reminders

    Worth knowing

    • Processing fees vary by plan; compare them against your monthly volume
    • Square Invoices is not full accounting software, so you still need books
  6. Zoho Invoice

Best for: Small firms that want a free invoicing app with a client portal

Zoho Invoice is free. It allows up to two users, three projects and up to 500 invoices a year, and includes recurring invoices, automated payment reminders, time logging and a self-service customer portal.

If you outgrow it, Zoho Books is the company's full accounting product.

    • Free, with up to 500 invoices a year
    • Recurring invoices and payment reminders
    • Customer portal
    • Time logging and basic project tracking

    Worth knowing

    • The limits (two users, three projects, 500 invoices a year) can be tight for a growing firm
    • Invoicing only; you still need accounting software
  7. Invoice Ninja

Best for: Freelancers who want a low-cost or self-hosted option

Invoice Ninja's free plan covers up to five clients with unlimited invoicing, online payments, recurring invoices, time tracking and a client portal. The paid Pro plan removes the client limit and adds automatic payment reminders.

Invoice Ninja also publishes its code on GitHub and offers a self-hosted version for those who want to run it on their own server.

    • Free plan for up to five clients
    • Recurring invoices and client portal on every plan
    • Automatic payment reminders on Pro
    • Self-hosted option

    Worth knowing

    • The free plan is capped at five clients
    • Its site lists QuickBooks among connected tools; check how the connection works before relying on it
  8. Wave

Best for: Very small service businesses that want free invoicing and bookkeeping

Wave's free Starter plan includes unlimited estimates, invoices and bills, with an optional add-on to accept online payments for a per-transaction fee.

The paid Pro plan adds automated late-payment reminders, custom branding, invoice attachments and message templates, and automatic bank transaction import.

    • Free plan with unlimited invoices
    • Invoicing and bookkeeping records in one place
    • Automated late-payment reminders on Pro
    • Mobile app for invoicing

    Worth knowing

    • Payment reminders and bank auto-import are Pro features
    • Online payments need separate approval

How to choose

  • If you schedule crews or technicians, a field service app such as Jobber or Housecall Pro saves double entry between the schedule and the invoice.
  • If you bill for time or retainers, look at FreshBooks or QuickBooks Online.
  • If you need an invoice tool only, compare the free plans from Zoho Invoice, Square, Invoice Ninja and Wave, and check their limits.
  • Check how payments reach your books. A sync that posts payments and fees correctly saves hours at reconciliation time.
  • Compare processing fees against your typical invoice size, not just the monthly price.

Getting invoices and payments right in your books

A common invoicing problem is not the invoice itself but the payment. Card and ACH deposits arrive net of fees, sometimes several invoices at once, and they get matched to the wrong invoice or recorded twice. Our article on bank feeds and reconciliation explains how to keep that straight.

Frequently asked questions

Do I need separate invoicing software if I use QuickBooks Online?

Usually not. QuickBooks Online includes invoicing, recurring invoices, reminders and online payments. Field service businesses often add a tool like Jobber or Housecall Pro for scheduling and then sync invoices to QuickBooks Online.

Is free invoicing software enough?

For a small business it often is. Zoho Invoice, Square Invoices, Invoice Ninja and Wave all have free plans. Check each plan's limits, such as number of clients or invoices, and remember that payment processing fees still apply.

What is progress invoicing?

Progress invoicing splits one estimate into several invoices as the work is done, by milestone, stage or percentage complete. QuickBooks Online offers it on its Plus and Advanced plans. It is common in construction and other long projects.

How do I stop chasing late payments?

Turn on automatic reminders, which most tools on this list offer on at least one plan, and make online payment easy. Clear payment terms on every invoice help too. Review your open invoices each month as part of a monthly bookkeeping routine.
